Incoming and Outgoing Students’ Brief Guide

Incoming Students’ Brief Guide

Alfa BK University, in its commitment to the internationalization process, offers support for arrival and adaptation, as well as for the orientation for incoming students to adapt and settle as quickly and easily as possible. International Relations Officers and student coordinator will contact each received mobility participant by e-mail before their arrival to provide them with the necessary answers to all questions. They will also provide guaranteed accommodation to all incoming exchange students and will pick them up at the Belgrade Nikola Tesla Airport or at the railway and/or bus station.  Each incoming student will have their own academic advisor who will take care of him/her and provide him/her with needed support and all necessary assistance during the process of their admission and stay.

An official welcome meeting will be held at the beginning of each semester, as well as academic workshops. These Orientation Days imply providing information on registration, study rules, health care, student life, applying for a residence permit, as well as an initial overview of the University courses offered. It is warmly recommended to all newcomers to participate in these events in order to go through all the formalities as easily as possible and to settle better in Belgrade. The programme of Orientation Days also includes a tour of the centre of Belgrade and New Belgrade in order to acquaint the participants with all memorable and important city`s sights. Arriving students will also be provided with a free of charge basic course in the Serbian language, prepared especially for them in order to better adapt and cope in their new work environment. These courses are free for all Erasmus + students and last 4 school hours per week, and if necessary longer, and they are adjusted to the University’s timetable.

Outgoing Students’ Brief Guide

Outgoing students apply for mobility programmes during each established application cycle. In each cycle of studies for which students receive a grant, within the total Erasmus study mobility, the stay in the partner institution must not exceed 12 months. Funding for Mobility Programme participants is determined based on the actual period of their stay abroad, specified in the Certificate of Attendance. International Relations Officers and academic coordinator provide outgoing participants with all the necessary information on Erasmus + exchange opportunities, as well as on the application procedure and deadlines. All faculties of Alpha BK University will organize short briefing events during the academic year proceeding the period of their departure abroad with the aim to inform potential mobility participants about the opportunities available to students. International Relations Officers will inform outgoing students in detail about the available grants, as well as about the procedure for filling in Erasmus forms and other relevant steps.

Student applications are processed and decided at each of the faculties of Alpha BK University. Following the selection process, pre-departure meetings will be held to inform students about more detailed mobility procedures, accommodation, insurance payments and relevant Erasmus forms (for example, learning agreements, grant agreements, etc.). The University will also provide its outgoing students with English language courses on time in order to better prepare them for learning and mastering knowledge in a foreign language in the partner institution of admission. Students will prepare their learning agreements in collaboration with International Relations Officer and academic coordinator. Also, before leaving Belgrade, at the end of their Erasmus + study stay, students will receive a Transcript of the Received Grades and a Certificate of Attendance. International Relations Officers will maintain regular contacts with outgoing participants of the Erasmus + Mobility Programme during the period of their stay abroad in order to gain insight into their results achieved in the partner institution of admission.

Mandatory Information and Training for Outgoing Teaching and Non-teaching Staff

Providing mandatory information and providing training for outgoing teaching and non-teaching staff consists of several intercultural training workshops, at least two before their departure and one after their return from the Erasmus + Mobility Programme. Workshops will be held during regular working hours. Prior to their departure, the workshops will cover all necessary organizational, technical and practical issues, including the expectations and concerns of teaching and non-teaching mobility program participants, as well as ways to deal with them. These workshops also prepare their participants for the best possible presentation of Alpha BK University in its partner institutions abroad, with a special emphasis on defining areas and skills that they could achieve and master during their mobility stay.

Upon their return, the workshop will cover the analysis of their work, received knowledge and experience, as well as their acquired intercultural skills, including primarily:

  • Conducting discussions on how the perception of the sending country could change in the receiving country thanks to their stay and work in the receiving partner institution.
  • Discussions on differences in culture, customs and habits between the country of sending and receiving.
  • Discussions on differences in procedures, organization and work techniques between the sending and receiving institution.
  • Discussions on the exchange of excellence and best practices.
  • Discussions on how new ideas, knowledge and experiences can be best integrated into the functioning of Alpha BK University.
  • Discussions on how mobility program participants were able to transfer their experiences to their colleagues from the partner receiving institution.
  • Discussions on what experiences and knowledge they have gained from their colleagues from the receiving partner institution.
  • Discussions on how they could motivate their other colleagues to participate in the Erasmus + Mobility Programme.

Workshops for outgoing and incoming mobile staff of Alfa BK University connect their participants in creating a mobile “community” of staff. They will be organized under the auspices of the University`s International Relations Office. Upon its return, the mobile staff will receive a Certificate of Acquired International Competence. Staff development within international cooperation umbrella is an integral part of the mission, vision, business and educational goals of Alpha BK University. Therefore, the University is deeply committed to providing comprehensive staff mobility support with the aim of qualifying its teaching and administrative staff for successful internationalization.
